Turn an accepted quotation into an order, ready to become a trade job.
Follow these steps
1
Let acceptance create the order
When a buyer accepts your Proforma Invoice through their portal, the order is created for you automatically and linked back to that PI. You can also create an order directly if you’re not starting from a quotation.
2
Confirm counterparty and trade terms
The counterparty company and contact, currency, line items and trade clauses (Incoterm, Payment term) carry over from the quotation — check them and fill in anything that wasn’t set earlier.
3
Move it to Finance Confirmed
An order starts at Order Received. Moving it to Finance Confirmed — once payment terms are agreed, an LC opened or an advance received — is the gate that unlocks everything downstream.
4
Create the export or import job
Once Finance Confirmed (or later), open the order’s Logistics & Compliance tab and click "Create Export Job" or "Create Import Job". The job carries the cargo, freight, customs documents and compliance; the order becomes the hub that tracks it.
5
Track it through to Closed
From there the order moves through Shipment Booked, Shipped, Customs Clearance, Delivered and Closed, shown as a stage pipeline right on the order.
Export and import use different words for the same stages
The stage keys are shared, but the labels change with order type — for example "Shipped" reads as "In Transit" on an import order, and "Order Received" reads as "PO Issued".
