Build a quotation from a lead or opportunity and send it for approval.
Follow these five steps
1
Start from a lead or opportunity
Click "Quotation" on a sales opportunity to open a new quotation pre-filled with the counterparty, currency and trade-template hints — or start blank and pick Export or Import yourself.
2
Add line items and trade terms
Add product line items, then set trade clauses: Incoterm and Payment term are seeded for you (FOB and Telegraphic Transfer by default). Add Shipping Terms, Inspection, Packing, Certification, Bank Details or a custom clause, and mark each one negotiable or locked.
3
Approve it, then send it
A new quotation starts in Draft. Approve moves it to Approved; Send Email then delivers it to the buyer with a link to their own portal.
4
The buyer responds
From their portal link, the buyer accepts, rejects, or opens a negotiation — optionally signing with their name, designation and a company stamp as part of accepting.
5
Generate the Proforma Invoice
Once the quotation is Accepted, "Generate Proforma Invoice" appears on the Overview tab. Send the PI the same way — the buyer accepting that PI is what actually creates the order.
Negotiation is part of the flow
If the buyer opens a negotiation, the quotation moves to a Negotiation status and you can propose new terms as a seller round — with an optional revision — before closing the negotiation as agreed or collapsed.
